Intro to Document Import

SOAPware Document Import is used for importing documents and files from outside of SOAPware directly into patients' charts, without having to open the patient records in the Chart workspace.  It is especially useful when dealing with large numbers of files spanning multiple charts, such as when importing the results of bulk scanning operations. 

To access the Document Import:

  1. Click on SOAPware in the menu bar
  2. Click the Document Import menu item from the drop down menu

 

The view in Document Import consists of four vertical columns and a patient name panel at the bottom.

  • The first column on the left is a list of patient charts, arranged alphabetically.  This is the same list that appears in the SOAPware Chart Rack.  The name of the patient selected from this list is displayed in the panel at the bottom.
  • The second column allows for the selection of folders, containing document to be imported. This is the same view that Windows creates when My Computer or Windows Explorer are selected.
  • The third column displays the contents of the folder selected in the second column.  Right-clicking in this area allows the view or sorting options of the display to be changed.
  • The fourth (right-most) column shows the chart sections for the active patient.  This is the same view provided by Chart Navigator.

       

All of the columns can be hidden or resized by clicking and dragging on the vertical splitter bars between them. 

     

 

Selecting a Patient

Patients can be selected by either typing their names or other identifiers into the Search box, or by browsing through the alphabetical list of patient charts.

It is also possible to create a new chart by Clicking the Create Chart button at the top of the selection column to the right of search. The new chart will be automatically selected after creation.

Once a chart is selected, the name of the patient will appear in large red letters at the bottom of the Document Import screen.

 

Selecting a File

File selection is handled in the two middle panels. The folder browsing panel displays a hierarchical view of the disks, folders, and network locations on the current computer.  Clicking on a folder/node in the hierarchial or tree panel will display its contents in the file selection panel to the right.  Double-clicking on a sub-node folder (or Clicking the + next to it) will expand it to show the folders contained within it.

Once a folder is selected, the file or files to import can be found in the file selection panel to the right of the folder browsing panel. This is a display that can include any/all the files or documents contained in the active folder or disk.   By default, SOAPware displays a thumbnail view, but other views can be selected by Right-clicking in the file area, and then clicking on one of the other menu items such as clicking on View; then clicking on Arrange icons.

Importing a File

After locating the file or files to import, drag them into the right-most panel, which displays the Chart Navigator for the current patient. To do this, Left click on the file, and while holding down the button, drag it over to the desired chart section and release the mouse button.

When dragging the files across the Chart Navigator, the mouse pointer will change to a dragdropcurser.jpg when it is over a chart section that will accept that type of document.

When the file is dropped into the chart section (i.e. lift finger off the mouse button), SOAPware will display the standard Add Document Task dialog  allowing the creation of a new task and allowing it to be routed to the appropriate user.

Multiple files  can also be selected by holding down the Ctrl or Shift keys while clicking on them with the mouse.  When importing multiple files, a prompt is presented to choose whether they should be added as multiple documents in a single docutainer or as single documents in separate docutainers.  This offers the opportunity to create a new task for each document.
