Docuplates - Speeding up Documentation

Plain Templates are Obsolete

Docuplates are:

  • Universal - can be for any/all areas of the chart.
  • Not just pre-built text, but can include any type/combination of documents or file types.

Templates

At a minimum, docuplates offer what most think of when they refer to templates. However, they are much more than plain templates. Templates usually insert pre-built information into a number of fields or areas of documentation all at once. Most electronic record systems offer the capability to have pre-built templates for encounter notes where most of the documentation is pre-built and simply edited after insertion into a new encounter note. A SOAP note docuplate can accomplish the same function in SOAPware.

Docuplates

Docuplates is the term given to SOAPware's documentation templates. Because docuplates are far more than just templates, it is often misleading to call them templates. Docuplates, unlike templates, can be created for almost all chart sections including Flow Sheets, Labs, Drawings, and even the Summary. Few to no other electronic record systems offer this range of templating options (Even more options are available, but are beyond the scope of this intro demo). Unlike templates which can typically only contain text items, docuplates can contain almost any type and combination of documents or file types including  Flow Sheets, Labs, Drawings, audio, video, and more. This universality of templating along with the ability for docuplates to enter much more than just pre-built text, created the need to come up with a replacement term for documentation templates. 

Docuplates can contain free text, SMARText, picklists, toggles, etc. They are efficient means to reuse the same docuplates on common visits. You can save and use these docuplates to speed up your documentation process by building in the items you often use during particular types of visits. For time purposes, it is best to create your docuplates prior to going live.

To keep it simple, this demo will be to create a simple, text docuplate for SOAP encounter notes. If you already have documentation in a SOAP encounter note that is likely to be similar to documentation you will need again in the future, then convert that encounter note into a docuplate. If you don't already have a note containing what you might want in a docuplate, create such a note (i. e. go to a pretend patient's chart (such as Slim Jim) and create a SOAP encounter note). 

Insert a SOAP Note Docuplate - infc

Start with an open SOAP encounter Note (i.e. one that is not signed-off), Click the Create Docutainer button to create a new, SOAP encounter note. Generally, when using a docuplate, the preference will be to start with an empty SOAP note. In order to empty the SOAP Note, Click Edit in the menu bar, and Click the Clear All SOAP Fields menu item (or Press Alt+E, then L keys). Once the SOAP Note is empty, Click Docutainers in the menu bar, and Click Docuplates (or Press the F6 key).

Type a Shortcut or Keyword (associated with the desired docuplate) in the Search field/box, and Click the Search button. Only single words can be entered into the search box.

In the screenshot, above, docuplates containing cough as a Keyword were retrieved. Click the docuplate list item for the desired docuplate, and Click the Insert button (or Double-click the docuplate list item). A Data Exchange dialog presents.

For this demo, Click the Append button.

Otherwise, Click...

Ignore to not insert any docuplate information into any SOAP note fields that already have content.

Append to add the docuplate information after any existing content in SOAP note fields.

New to create a new, empty/blank SOAP note next to the existing one. This could be useful if you were seeing the patient for a sore throat and a workman's comp appointment at the same visit.

Cancel to exit the dialog and not perform any information insertion into the SOAP note.

In this demo, because the SOAP note fields were emptied, Ignore could have been chosen, and this would have ended with the same results. The results are that the information in the docuplate has been inserted into the previously empty SOAP encounter note fields

 

Edit a Docuplate

Click Docutainers in the menu bar, and Click Docuplates (or Press the F6 key). When the Docuplates viewer appears, Type a shortcut or keyword in the Search field/box that is associated with the desired docuplate. Only single words can be entered into the Search field/box. Docuplates having matching keywords will be list items in the area below the Search field/box on the left side of the Docuplates viewer. Click the docuplate list item for the desired docuplate, and the docuplate is displayed on the right side of the Docuplates viewer. Edit the docuplate's data elements as needed. The information within the docuplate is always, automatically saved without having to issue a save command. There is no save button. Simply clicking anywhere outside of the Docuplates viewer or viewing another docuplate causes any edits to be saved automatically.
