Pick lists provide an extremely powerful and flexible way to quickly enter data. They are predefined lists of data items, that can be selected for insertion into documentation.
What may not be obvious in the beginning is that there are many different types of lists in SOAPware. Most of these are presented within the same dialog, the SMARText Quick Access. Once the different types of lists and their different functions are understood, their use becomes more intuitive. In the beginning, without a knowledge of the different lists-functions, they may seem a bit inconsistent and illogical.
I. Pick lists in Quick Access generated from clicking on the blue header of a SMARText item:
Multi-Select Pick Lists = Contain multiple items and are the most commonly used type.
Toggle Pick Lists = A pick list containing a combinations of pick lists (see below).
Single Select Pick Lists = There is only one item available to choose.

II. Pick lists in Quick Access generated from within documents during the creation of documentation:
For example, in SOAPware, users enter the first 3-4 letters in a medical term (and press F11 or the spacebar) and this generates a pick list of the items likely needed for the documentation. Also, most of the time, regardless of where the user is in SOAPware, the Quick Access pick list will present the most likely data items the user is going to need without the user having to type anything.

| Spacebar Pick List | Enter a string of letters in SW and press spacebar; if more than one ST item has a shortcut matching the group of letters, then a list of those items is presented. If only one ST item matches, it is automatically inserted as did matching shortcuts in version 4 |
III. Pick lists generated by sub-items within Structured SMARText items.
For example, pick lists are presented in the Quick Access for selection of medication strengths.

IV. Pick lists created within List Options:
Within SOAPware, in many sections, there are Down Lists from which items can be selected.
List Options are available for editing under the Tools menu.

Note: The List Options section of Security Administration allows you to control a user’s access to the List Options editor.

The List Option pick lists are the only type that are not really editable other than adding and removing items.
Most SMARText items that offer pick lists will have a header displayed in blue text to signify that clicking on them will display pick list items for selection. The items are displayed in the Quick Access Dialog, which by default, is docked to the right. Below, the CHIEF COMPLAINT has been clicked.

It is important to have the latest SMARText (i.e. ST) items in order to demonstrate this work flow. This updating of ST items takes 10-30 minutes depending on how many ST items are already in your local library. Older ST items may cause the pick lists to display items that don’t make a lot of sense. ST items are evolving rapidly, we suggest updating them prior to exploring this workflow. To do this, go to the SMARText Manager (i.e. press F10) and click on the icon to update ST items.

Add comment regarding Bundles in pick lists (e.g. Shared item)
Address issue regarding the need to adjust the Quick Access Window to get to see all items. The challenge is mainly with toggle lists - we can't really store/preserve the layout because each toggle group can have a different # of columns
