You do not have to open the SMARText Manager in order to retrieve desired SMARText items. When creating documentation in SOAPware, you have 3 key commands at your disposal to find needed SMARText items. These are F11, Shift + F11, and Space bar.
Additionally, anytime you click into a field in a patient chart and perform one of the above functions, the SMARText Quick Access List will show you the items you have used in that location in the past.

| Space Bar | When the space bar is pressed, the word preceding is searched for, but ONLY the Shortcuts are searched. Power users will assign unique shortcuts to common items and phrases so that they auto expand while typed. For example you might set the short cut of 'ty' to the phrase 'Thank You' so that every time ty and then the space bar is pressed the phrase Thank You is entered. |
While creating encounter documentation in a patient chart, you can find needed items very quickly and efficiently.
For example, let's say we are in the SOAP Note section, and want to insert Amoxicillin in the Medication field.

By Pressing F11 (or CTRL+>), your local database will be searched for SMARText items that have keywords matching amo. Any found items will be displayed in a pop-up Quick Access list that presents just below where you are typing, as shown in the image below.
The image below shows how the selected item will look in the SOAP Note.

When you Click on the Underlined Blue text, a SMARText Quick Access list will pop up containing selections to complete the items such as dosage, amount of refills, etc.
Typing amo, holding down the Shift key and then pressing F11 tells SOAPware to search both the local library AND the online library. Items can be inserted into the chart from this list by Double Clicking on the item(s).

The SMARText Items display provides three ways to organize you codes: by Searching, by Type and by Keyword.
To Display the SMARText Items Manager Press F10 or select SMARText Items from the Docutainer menu.
Below is a screen shot of the SMARText Item Manager after amo was entered into the search field. Notice there is a check mark in the box to Include Online Library.
The List - By Type tab provides an easy way to view all items of a specific type (medication, lists etc.). Drop down the list to make your selection.

Highlight your selection and then Click the insert button to add to your Chart.
The List - By Keyword tab provides a list of all keywords used in your system and displays all items related to a given keyword.

The SOAPware Online Library provides a unique way to share and discover codes and customizations created by SOAPware and other users.
Each of the three tabs discussed above have a check box located in the lower left corner next to Include Online Library Items. When checked, your searches not only include your local items but also all items located in the SOAPware Online Library.
You will notice that each SMARText item has a small triangle next to it - pointing up to indicate that the item exists in your local database
and point down to indicated it is on the SOAPware servers.
In addition, each item will be one of three colors -green for items created by SOAPware, yellow for items you or fellow users have created and red for items you do not have access to.


If the item already exists in your local database, you will be prompted on whether you wish to overwrite the existing item or skip downloading the item.

Over time, items that you have download in the past may have been updated in the online library. SOAPware can automatically download items that have been updated.
Click on the Update icon
(some say it looks like a nervous light bulb)
If your local item exists online and has been updated, SOAPware will compare the items and download the update-if the online item is newer.
You will be warned that this process may take several minutes to complete.
