Handouts in SOAPware provide dynamic capabilities that are unmatched by paper charts. You can select and print handouts manually, or have SOAPware automatically print them, and insert a notice of printing into the current encounter note.
In a paper office, handouts typically consist of collections of paper documents that must be found and copied when needed for a patient. However, it is possible to overlook handouts that might pertain to a given problem.
Many offices may also use preprinted pamphlets for handouts, but these must be stored, which limits the expanse of topics and the quantity of handouts available.
And while some progressive semi-electronic offices might store handouts as electronic files, these must be stored, searched for, and printed by leaving SOAPware, which creates unnecessary work and reduces productivity and accuracy of care.
In SOAPware 4.x, handouts were simple text documents. It was possible to select handouts based on keywords that read only from the Assessment and Medication fields.
In SOAPware 2008, handouts are still selectable by keywords and can still be organized by categories, but now they can also be found easily through a Search window. Because of this, it is no longer necessary to search through categories to find a handout.
In 2008, handouts are much more than mere text documents. it possible to create handouts as collections of related Document Items, rather than just single documents.
The left side of the Handouts manager has a search box, used for searching by keywords. This area also contains the quick access buttons Search, (e.g. New Handout, Remove Handout, Print Handout, Download, and Upload).
Below the text box is the list of available handouts, which can be sorted by clicking the head of the column you wish to sort by. These columns are Name, which displays the name of the handout, and Keyword.
Note: In order to see handouts available for download, Click the Include Online Library Items checkbox.
The top right section of the Handout Manager contains the document demographics for handouts. These include Name, Description, Author, Email, and Keywords.
Note: If you cannot see this section, it is hidden from view; Click the Splitter Bar to expand it.
Finally, the lower right section of the Handout Manager contains a preview window that displays the content of the handout currently selected in the handout list. Not only can the Handout Manager itself be resized, but the individual sections within the Handout Manager can be resized using the splitter bars between the sections.

The Basics
The Handouts Manager is accessible by Selecting Handouts from the Documents menu, located on the main SOAPware menu bar.
To select a handout, first Click in the search box. Type a keyword associated with the handout that desired. For example, in order to Select a handout on Bronchodilators, Type bronch. Once the keyword, is entered into search either Press the Enter key, or or Click the Search button.

If there are handouts associated with the keyword, they will appear in the handouts list. Click the Handout name in the item list.

Once a handout is selected, it can be inserted into the currently active document. To do this, simply Click the Insert Button located under the handouts list.

SOAPware can look at the current SOAP encounter note and automatically select and print the appropriate handouts, based on keywords in the Assessment and Medications fields. In this example, notice Allergic rhinitis is in the Assessment field and Albuterol is in the Medications field.

Once the SOAP encounter note's Assessment and Plan are at or near completion, Click on Docutainers in the main menu, and Click Select Handouts (or Press Control + H).
SOAPware checks to see if there are any handouts linked to keywords appearing in the current SOAP encounter note. If there are, the handout notices will automatically be inserted into the Plan field.

Note this function will only choose and insert handouts if there are handouts in SOAPware that match an appropriate keyword from the current SOAP encounter note. If you attempt to use this function and nothing happens, there are no handouts in SOAPware that match your current SOAP encounter note.
New handouts can be created in the Handout Manager by Clicking the New Handout button
(or by Pressing Control + Alt + N).
Clicking the New Handout button will open the Create New Handout dialog. Give your handout a name that best describes its content and purpose, and Click the Create button.

A new, empty handout will appear in the handout preview window.
First, complete the document demographic information. The new handout’s name will be filled in automatically. Type in a short description for your new handout, the name of the author, the author’s email, and any keywords you would like to associate with this handout. Remember, the keywords are what SOAPware uses to find your handout, so be sure to include them.

To create the content for your new handout, you may type information,orcopy and paste information from another document, or drag and drop various document items such as images, audio files, video files, or other content. Your new handout is automatically saved when you are finished creating it.
To modify or customize an existing handout, first select that handout to make it appear in the preview window on the right. Make any changes to the handout in the same way that you would if creating a new handout, and close the Handouts Manager. The handout will now appear with any edits or modifications made.
To delete an existing handout, Click the Name in the list of the handout to be deleted. Do this by searching for the handout by keyword, and selecting it from the handouts list. After selecting the handout to be deleted, Click the Remove Handout button
(or Press Ctrl+Alt+R). SOAPware will ask for confirmation to delete the handout. Click Yes, and the handout will be removed from the list. Otherwise, Click No.
Note: To print handouts, you must have a printer attached to the computer, either directly or through a network. First select the handout to print. Do this by searching for the handout by keyword, and selecting if from the handouts list. After selecting the handout to be printed, Click the Print Handout button
(or Press Control + Alt + P).
Most of the time, handouts are printed along with a document design. Automatically set the design to print handouts in the Document Designer. From the SOAPware main menu bar, Click on Tools and then Click the Document Designer menu item. When the Document Designer dialog opens, Click on File, and then Click the Available Designs menu item.

Click the #1-Rx-Alone list item, and Click the OK button.

Click on Edit, and then Click Design Properties.

In Design Properties, Click the Macros tab, and Click the Print selected Handouts checkbox.

Note: If you have added the Print selected Handouts macro to a document design, and decided that they shouldn’t be printed during a particular patient encounter. Simply Delete the Handouts SMARText items from the SOAP encounter note Plan field. In order to prevent an individual handout from printing, Click the name of the handout in the Plan field, and uncheck the handout's checkbox in the pops-up menu.
The SOAPware Online Library contains handouts created by SOAPware and users. They can be downloaded for use. Please consider contributing your own handouts for others to download.
To Download a handout from the library, First ensure that you have told the Handout Manager to include online handouts. To do this, Click the Include Online Library Items checkbox located in the lower left corner of the Handout Manager.

Handouts available for download will display with a yellow or green triangle pointing down. Click the name of a handout to download, and notice, in the right side of the dialog, the message - The selected handout is online. Please download to view it.

Click the Download button
(or Press Control + Alt + D).
The selected handout will be downloaded and stored for local use. Notice that the triangle is now pointing up which indicaes that it is downloaded to the local database.

To Upload a Handout, first, select the handout to share/upload, Click the Upload Handout button. 
SOAPware will confirm the handout has been uploaded.

To Exit the Share Handouts dialog, Click OK.
Open the Handout section. Create a new Handout, name it, and place your keywords.
Drag and Drop your file next to the tab at the bottom of the Handout area.
