Describe and define current workflows and tasks performed in the practice. To get where you want to be, it is extremely wise to understand the specifics of where you are, and what you do now. This creates the necessary framework to consider more efficient ways of doing things in the future. The following list can serve as a starting point.
Patient encounter note or record of visit
Templates (i.e. Docuplates) to implement practice guidelines, standardize
Manage results (e.g. lab, x-ray)
Health maintenance recalls
Order entry tracking, order sets
Consultations
(when, who, what, date, recommendations)
Record allergies and type of reaction
Interaction checking
(drug-drug, drug-allergy, drug-diagnosis)
Message management - internal and external
Images-photos, ekgs, etc.
Patient education (print as needed? web links?)
Super bill (i.e. ICD and CPT codes for proper billing)
Patient notes for work or school
Loose reports
(from outside sources such as hospital, laboratory, consultation reports)
Nursing tasks
(RN, LPN, physician assistant, registered nurse practitioner, etc.)
Data entry specialist (transcriptionist?)
Sign-in (patient registration process)
Release of information policy/procedures
No shows; cancellations policies
Consent for treatment forms, policies, procedures
Others - Add the workflows specific to your practice and define the transition!
Over time, the above list will become more comprehensive and will be transformed into links to other areas of the implementation guide such as those dealing with training in those specific areas.
