The most critical part of any EMR is your data. Ensuring that you have redundant, fail-safe copies of your data is absolutely necessary. We recommend backing up somewhere off of your server in case your server has a hardware problem. We also recommend keeping at least one backup off site in case anything happens to your office. Rotating at least 2 USB external hard drives and taking one home with you should accomplish this.

SOAPware provides a backup utility called Data Manager that allows you to perform easy backups of your data. The following is a guide on how to perform backups with the Data Manager.

The Data Manager should be installed on your server and you can open it by going to Start, Programs, SOAPware, SOAPware Data Manager. When you open the Data Manager, the login screen asks for the PostgreSQL password, this is the second password that is created during the PostgreSQL Data Server installation.  If you had a SOAPware Support Tech install the PostgreSQL Data Server for you the default passwords are as follows, depending on Windows Password Requirements (soapware, soapware1, soapware1234_x). Otherwise, it will be whatever you entered at the time of the install.

NOTE: If you installed your V5 data to a different location than the default, go to Options. Your Data Path should read "C:\Program Files\PostgreSQL\8.2\". We nee to change that if you installed the data elsewhere. Under Database Install Path, click Browse. Change the path to "D:\NewPath\" where D:\NewPath is the folder you installed to that contains the 'data' folder.

You’ll notice the options for Compress Backup, which will decrease the size of your backups. You can also change the PostgreSQL user password on this Options menu at the bottom.

Go back to the Backup tab and you’ll see the Backup info. First, you can set the name of your backup file in the Backup Name field. You can also append the date to the name of the backup file. This will prevent it from overwriting a previous backup since the backup date and time on the file name will create a new file. You can set the location of where you are backing up, and also click the Set Schedule to set a schedule for the backup to run on. When you click the Save Schedule button, it creates a Windows Scheduled Task that you can access in the Control Panel, or Start, Programs, Accessories, System Tools, and Scheduled Tasks.

You can also click the Backup Now button to backup to whatever folder you currently have selected in the location field.
