Chart Rack is accessed by Clicking Chart, Chart Rack or by pressing CTRL+SHIFT+C.
Paper Connection
If you were using paper charts, think of the Chart Rack as a huge filing cabinet that contains every chart that is accessible with SOAPware.
Interface
The Chart Rack Interface consists of two main parts, the Toolbar and the Grid View.
The Toolbar is used to search for patients and interact with the items listed in the Grid View. You can print a list of patients, create a new chart or open a chart for editing all via the toolbar.
The Grid View displays Patient Names, Chart Numbers, Social Security Numbers, Birthdates, and the Provider of patients.
Below the Grid View is the Provider List. You can use the provider list drop down to view the charts of another provider.
Functionality
The Basics
To use the Chart Rack, you must first open it. To open the Chart Rack, simply click Chart, Chart Rack or press CTRL+SHIFT+C. Once the Chart Rack is open, make sure that you have the proper provider listed in the Provider List. If you would like to change the provider, click the Provider List drop-down arrow and select a new provider.
If you would like to browse for patients for all providers, simply select All Providers in the drop down list.
Once you have selected the proper provider, you can begin looking for the chart. In most cases, you will already know the name of the patient that you’re looking for.
Finding Charts by Search
To find a patient by name, simply position the cursor in the Search Box, make sure that Name is selected in the Type box and start typing their last name. After typing the first few letters of the last name you will notice that a list of matching patients will appear listed on the * tab. If you continue typing, the list will continue to reduce until you are left with the matching patients. You can also search for patients by Birth Date, Chart Number, Phone or Social Security Number.
To find a patient by birthdate, position the cursor in the Search Box, and make sure that Birthdate is selected in the Type box and then type or use the calendar drop down control to select the patients’ correct birthdate.
To find a patient by chart number, position the cursor in the Search Box, make sure that Chart Number is selected in the Type box, and then start typing their chart number. After typing the first three digits of the chart number, you will notice that a list of matching patients will appear listed on the * tab. If you continue typing, the list will continue to reduce until you are left with the matching patients.
To find a patient by phone number, position the cursor in the Search Box, and make sure that Phone # is selected in the Type box and then type the patients’ phone number.
To find a patient by social security number, position the cursor in the Search Box, make sure that Social Security Number is selected in the Type box, and then start typing their social security number. After typing the first three digits of the social security number, you will notice that a list of matching patients will appear listed on the * tab. You will also notice that the dashes are automatically put into the search field for you, so there is no need to type them. If you continue typing, the list will continue to reduce until you are left with the matching patients.
Finding Charts by Browse
On occasion, you might have a chart with a misspelled name. In this situation, you will have to browse for the chart. Begin by clicking the tab that corresponds with the first letter of their last name. Then try to find the chart in the displayed list. You can use the scroll bar to move the list of patients up and down.
If the first letter of the last name was mistyped or you are unable to find the chart, you might try looking in the To Do List or using Chart Searcher to see if you can find the chart.
Interacting with Charts
Once you have found the chart that you would like to open via the Search method or the Browse method, simply double-click the chart and it will open.
