16. Health Maintenance Rules and Sets Manager

The Health Maintenance Rules and Sets editor is useful for specifying the items available in SOAPware that can be added to a patient's chart.  The main view is separated into 2 areas: the rules and rule sets.

Rules

The rules are the individual items that Health Maintenance can track.  An example of this would be an Influenza vaccine.  You can remove rules from this list, however, this will not remove these rules from the patient's chart.  Editing items also will not update the charts containing this rule.

Creating / Editing Interface

When creating/editing a rule, the first thing you'll notice is the Type of rule.  For this Basic is any kind of item that is not a vaccine.  Vaccines need extra information tracked and so it's very important to mark the type as Vaccine for a vaccine.  You can also specify the name and description.  The name is how you will see the item in the patient's chart (when inserted).  The description is useful for the main view for extra information.

The alert is there so that when a rule is within that range it can be found when generating HM reports to send to patients for items needing attention.  The frequency part is there to note when this rule should be applied to a patient.  The age frequency is common for Vaccines whereas the Interval frequency is more common for the recurring items each year such as Influenza shots.

There is a N/A List there which 99% of users will not need to change.  This does allow you the ability to use a customized list for the reasons why a rule is Not Applicable.  Instead of having a big list for why any rule may not be applicable, you could have customized lists for each rule or a subset of rules.  To create new lists or to modify the main list, you will need to go to Tools->List Options.

Rule Sets

Rule Sets can be viewed as a collection/set of rules.  It's a way to group a set of related items together.  This is useful for doing sets of vaccines for age groups.  You can remove rule sets from this list.  The specification of age/gender information is useful for automatically adding rules to a chart based on demographic information.

Creating / Editing Interface

When creating / editing a rule set, you will need to enter a name and at least 1 rule.  Rules are specifying by clicking the checkbox beside the rule name.  The Guidelines area is the most important part of this though.  This is where you'll specify an age range for this rule set and a gender.  To specify a start age you'll have to first check the checkbox for specify start age.  You can also specify the variance, which is when you will start to be notified of adding this rule set to the patient chart.  You would need to click the specify end age checkbox also to specify an end age.  Gender can be set or left blank to match any patient.
