BEFORE upgrading, you must contact SOAPware. The product will not work with a v5 License. It requires a SOAPware-2008 License.
If you have not registered for SOAPware 2008 to get a SOAPware 2008 license, you may do so here.
Here is a V5 to 2008 Migration Advice article that should be reviewed PRIOR to the upgrade. There are numerous database changes to track document signatures and multiple other changes to how security is managed. The new product packaging information is also in the database.
The upgrade from v5 to SOAPware-2008 is one way. It is impossible to revert back to v5. Going from v5 (with PostgreSQL) to SOAPware 2008 is more similar to an update from one version of v4 to another version of v4. It more of an update that an upgrade. It is basically going from v5.1 to v5.2 with a changing of the naming convention and product packaging at the same time.There is no need for data conversion, nor the need to become familiar with a new interface.
Going from v5 (with MySQL) will require a data migration.
Nurses can no longer sign-off provider's documents. In previous versions of SOAPware, it was possible for users who are not providers to be able to sign off documents. With SOAPware 2008 all documents in the record must be signed off by the provider that is assigned as the owner of the document. The solution is a workflow change allowing for the bulk sign-off of documents - Sign Off Multiple Documents, Multiple Patients. There is also a new chart section, "Financial," where non-clinical documents do not require signatures.
When converting from v5 to SOAPware-2008, Original V5 shortcuts still reside in Start menu after upgrading to 2008.
SOAPware 2008 has a number of changes that have the potential to suprise users of previous versions of v5. Please take a moment to review the following before installing.
- If SOAPware is slow, it may be this... There is an architectural flaw with the 3rd party software we use to provide menus/toolbars in SW. This flaw causes the settings file to grow each time it is saved. As the file grows, SOAPware begins to slow down. As an interim solution we have disabled Menu / Toolbar Customization Saving until either the 3rd party fixes the flaw, or we find and incorporate a replacement. Changes made will need to be manually saved for now. If your menu or key-commands are not saving, this is likely the issue. The saving is manual and not automatic for now.
- The implementation of font editing in SMARText documents was not living up to our standards and not providing the functionality needed by most users. Rather than leave a partial solution in place, font-editing has been temporarily removed.
- Control + Click to add a comment to a SMARText item has changed to a simple click. To add a typed comment to a SMARText item, Click anywhere on the item (i.e. the blue header) and simply begin typing. SOAPware will automatically display the comment editor dialog displaying the typed characters.

Structured medication SMARText items-The units have been removed from the Quantity sub-item in Structured medication SMARText items. There was a problem with certain forms such as drops and inhalers where the database would insert drops or puffs after entering the amount to dispense. This should not affect items that have been previously modified to read correctly. However, going forward, it may sometimes be necessary to add a comment to any numerical entry. For example, if the amount to dispense is 100 ml (i.e. Quantity- 100 ml), the ml will need to be entered in the Comments for Quantity.
- Administrator accounts, by default, have reduced access rights. CCHIT certification requires that system administrators cannot have any access to patient information. If you log in with the Administrator account you will only be able to access the SOAPware Secure workspace (i.e. Security dialog) where you can manage user accounts.
- Access to security settings to add/remove/modify user accounts is now done via the SOAPware Secure workspace (SOAPware - Secure menu).
- Cursor placement/movement should be much more forgiving - the cursor should not jump-to another location when you click on a SMARText items header (blue text). Additionally, arrow keys, Home/End Page Up/Down should work more consistently. Generally, if you click-and-type on a SMARText item that doesn't accept free text typing, the typed information will be placed it the item's Comment area.
- Most user settings that previously were stored on each computer for each user have been made global so that a change on one workstation for a user is reflected on all. Certain settings still remain local, for example, the preferred screen layout.
- SOAPware 2008 is packaged differently than previous versions. In a nutshell, the modular concept has been mostly abandoned/simplified, and we have moved to offering three main products (SOAPwareRX, SOAPware 2008 Standard and SOAPware 2008 Professional). Both SOAPware-2008 products are CCHIT certified. SOAPwareRx is not. Existing SOAPware users should gain additional functionality from this switch without incuring additional, initial cost.
