This document describes how to setup & maintain a Laptop walkabout for SOAPware v5 or 2008 & PostgreSQL Databases. The purpose of this procedure is to allow you to access SOAPware on your laptop while you're out of the office.

    Assumptions

You MUST have the following programs installed on your MAIN SERVER & LAPTOP if you plan to leave the office and still have SOAPware work.  For installation instructions of any of these programs click here. To download the programs if you haven't already, click here .

Backup the Database on your main server.

    1. Create a backup of your SOAPware Database - Start > Programs > SOAPware 5 > SOAPware Data Manager.

    2. The Data Manager will open & then you need to login - type in the password used when you installed PostgreSQL onto your MAIN SERVER.  If you click Advanced, you will see the Server, Port and Username.  By default the Server = localhost, Port = 5432, and User Name = postgres.  Leave the defaults as they are unless you customized your installation of PostgreSQL.

    3. You will now be in the Data Manager - click the BACKUP button on the left side menu, you should now see the backup menu.  Type in a backup name, select a backup location (this should be a location you know how to find), and click BACKUP NOW.  A message will be displayed when the backup is complete.

    4. A backup has been created, now you will need to decide how are you are going to take it to the other computer.  You will need to browse to the location to which you sent the backup, and then you can burn it to a CD or DVD; copy it to a Memory Stick, USB drive, or External Hard drive; or you could create a mapped drive and copy it across your network to the another computer.

Restore the Database Backup on your laptop.

    1. Create a backup of your SOAPware 5 Database - Start > Programs > SOAPware 5 > SOAPware Data Manager. Create a backup of your SOAPware 2008 Database - Start > Programs > SOAPware  > SOAPware Data Manager

    2. The Data Manager will open & then you need to login - type in the password used when you installed PostgreSQL onto your LAPTOP.  If you click Advanced, you will see the Server, Port and Username.  By default the Server = localhost, Port = 5432, and User Name = postgres.  Leave the defaults as they are unless you customized your installation of PostgreSQL.

    3. You will now be in the Data Manager - click the RESTORE button on the left side menu, you should now see the restore menu.  Browse to the location in which your Backup was saved, this could be CD\DVD, Memory Stick, USB Drive, External Hard Drive, or mapped drive depending on what you decided to store it on; and click RESTORE.  A message will be displayed when restore is complete.

How to login into SOAPware 5/2008 on the LAPTOP, while AWAY from the Office.

    DAILY PROCEDURES.

    Leaving the Office.

    1. If this is the first time your leaving the office with SOAPware, you will need to make sure you have restored a backup of the MAIN SERVER Database to the LAPTOP.  ***Check Warning Below***

    2. If this is not the first time leaving the office, you can either restore another backup of the MAIN SERVER Database, which will make the LAPTOP Database current, or you can Export\Import the Charts you need to work on.

    3. While IN the Office & connected to the MAIN SERVER Database, Open SOAPware > click Chart > Export > Patients.

    4. The "Available Charts" window will be up > select a Provider (All Providers will be selected by default) > select the patients you need to work on or press "Select All" > select a Destination (this should be something you know how to find) and click EXPORT.  You are now safe to leave the office.

    5. While AWAY from the Office & connected to the LAPTOP Database, Open SOAPware > click Chart > Import.

    6. The "Open" window will be up > browse to the location in which you exported & select a patient to import > click Open.  Your chart is imported once the "Open" window disappears.

    Returning to the Office.

    1. You can either restore the LAPTOP Database to the MAIN SERVER or you can Export\Import the Charts you need to update the MAIN SERVER Database.   ***Check Warning Below***

    2. While connected to the LAPTOP Database, Open SOAPware > click Chart > Export > Patients.

    3. The "Available Charts" window will be up > select a Provider (All Providers will be selected by default) > select the patients you need to work on or press "Select All" > select a Destination (this should be something you know how to find) and click EXPORT.  You are now safe to leave the office.

    4. While IN the Office > open SOAPware 5 & make sure you login under the MAIN SERVER Database > click Chart > Import.

    5. The "Open" window will be up > browse to the location in which you exported & select a patient to import > click Open.  Your chart is imported once the "Open" window disappears.

    ***WARNING:***

When you restore a database, it will completely overwrite everything that is on the server in which you are restoring it to.  If other office staff worked on the MAIN SERVER Database while you were away, you do not want to restore LAPTOP Database to the MAIN SERVER.  Doing so will result in all work performed by others to be DELETED.
